How Concept Grading collects, uses and protects personal data.

Concept Grading Pte. Ltd. ("Concept Grading", "we", "us" or "our") is committed to protecting your personal data in accordance with the Personal Data Protection Act 2012 of Singapore (the "PDPA"). This Privacy Policy explains how we collect, use, disclose and protect your personal data when you visit our website, visit our stores, or use our grading submission and related services.

1. Personal Data We Collect

1.1

Information you provide. When you create an account, submit cards for grading, make a purchase, or contact us, we collect information such as your name, email address, phone number, billing and collection address, and payment details.

In-store and kiosk information. When you visit a Concept Grading store or use our in-store queue and intake system, we collect your name and contact details, and information about the cards you bring for consultation, submission or collection.

1.3

Submission information. We collect details of the cards you submit, the grading services and service tiers you select, declared values, grading outcomes, and images of your cards.

1.4

Device and usage information. When you use our website, we automatically collect certain information about your device, including your IP address, browser type, time zone, cookies on your device, and information about how you interact with the site ("Device Information"). We collect Device Information using cookies, log files, web beacons, tags and pixels.

1.5

Payment information. Payments are processed securely by our third-party payment providers. We do not store full payment card numbers on our own systems.

2. How We Use Your Personal Data

We use your personal data to:

  • create and manage your account;
  • process and track your grading submissions, and submit your cards to the relevant grading companies;
  • notify you about the status of your submissions, collection and returns;
  • process payments, invoices, refunds and store credit (GEMs);
  • provide customer support and respond to your enquiries;
  • detect, prevent and address fraud and security issues;
  • improve and optimise our website and services; and
  • send you marketing or promotional communications where you have consented (see Consent below).

4. Cookies, Pixels & Analytics

We use cookies, log files, web beacons, tags and pixels to operate our website, understand how it is used, and measure our marketing. This includes Google Analytics and Google Tag Manager, and advertising pixels from Meta, TikTok and Google. You can opt out of targeted advertising through the following controls:

5. Disclosure & Service Providers

We disclose personal data only as needed to provide our services, including to:

  • Grading companies (for example PSA, BGS, CGC, TAG, MBA and BRG) to process your submissions;
  • Payment providers (for example Airwallex and HitPay) to process payments;
  • Service providers who support our operations, including SendGrid (email), Cloudinary (image hosting), Pusher (real-time notifications) and Google (analytics, sign-in and reCAPTCHA);
  • Couriers and logistics providers for shipping and returns; and
  • Authorities or other third parties where required by law, to respond to a lawful request, or to protect our rights.

6. Transfers Outside Singapore

6.1

Some of our service providers and grading companies are located outside Singapore. Where we transfer personal data overseas, we take reasonable steps to ensure it is protected to a standard comparable to the protection required under the PDPA.

7. Data Retention

7.1

We retain personal data for as long as necessary to fulfil the purposes described in this policy, to comply with legal, accounting or reporting obligations, and to resolve disputes. When personal data is no longer required, we take reasonable steps to securely delete or anonymise it.

8. Protection of Personal Data

8.1

We implement reasonable administrative, technical and physical measures to protect personal data against unauthorised access, collection, use, disclosure, copying, modification or disposal. However, no method of transmission over the Internet or method of electronic storage is completely secure.

9. Your Rights Under the PDPA

Subject to applicable law, you have the right to:

  • request access to the personal data we hold about you;
  • request correction of personal data that is inaccurate or incomplete; and
  • withdraw your consent to our collection, use or disclosure of your personal data.

10. Do Not Track

10.1

Please note that we do not alter our website's data collection and use practices when we receive a Do Not Track signal from your browser.

11.1

We may update this Privacy Policy from time to time to reflect changes to our practices or for operational, legal or regulatory reasons. The "last updated" date at the top indicates when this policy was last revised.
